BWI has received reports that several companies are fraudulently posing as authorized travel vendors for the BWI EXPO. These companies may attempt to contact you and offer housing accommodations. BWI urges you to beware of these types of companies. These companies are not endorsed by or affiliated with BWI, and the services purported to be offered are likely fraudulent.
Please be aware that online list sellers soliciting the BWI EXPO exhibitors and claiming to have the EXPO attendee lists for sale are not affiliated with, or endorsed by BWI. BWI does not make its exhibitor or attendee contact lists available to any third party. You should note that the online sellers generally acknowledge in their solicitation that their purported attendee list does not come from BWI; they claim to have assembled their list by phoning and emailing contacts from their own database.

The 2025 BWI EXPO will take place inside the Fort Worth Convention Center.

Exhibitor setup will not be allowed on Monday, September 8.

Classes are held every hour at the top of the hour in meeting room 103A.

Program Outline
Don't forget to submit your 2025 BWI EXPO Vendor Program Outline with pricing, show specials, Hot Buys submissions, and Pallet Alley and Bulk Buys submissions to BWI no later than 6/1/2025. We prefer them as early as possible.
Please utilize the program outline linked above to submit your show program, filling in all applicable fields. We want to make the EXPO as successful as possible while we have the attention of some of our best customers. Your deepest discounts and greatest incentives on the right products are needed to help us drive sales. Your marketing associate and/or business director will be available to discuss your program if needed.

Thank you for utilizing this format for our show programs.
All EXPO orders must be honored and shipped regardless of order requirements, shipping by 12/1/2025 unless special arrangements are made with the buyer.
Customer cancellation of non-stock item orders will be returned to vendor freight prepaid. Displays, merchandisers, bulk, and pallet packs must ship completely; substitutions must only be made with prior approval or will be canceled.
Exhibitor Services
What is included?
Each 10' x 10' booth space includes an iPad for order capture, back drape, carpet, a 6-foot table, two chairs, a trash can, and an ID sign. Additional services must be ordered through the decorator, Fern.
iPads should be turned back in at the end of the day for charging and picked up the next morning.
All electricity must be ordered through Edlen Electric.

Online Exhibitor Dashboard
Details
Your participation in our in-person EXPO also gets your program listed in the online version where BWI customers not in attendance can place orders. This feature also allows customers that attend in-person to review offerings ahead of EXPO and place orders before they get to your booth, allowing you to focus on pitching new products, showcasing specials, or reviewing online orders.
The BWI Online EXPO will be available to customers throughout the ordering windows listed below, giving our representatives time to work with targeted accounts.
- • August 1-31, 2025 - Ornamental market
- • August 1, 2025 - September 30, 2025 - Turf and Landscape markets
- • September 1-30, 2025 - Professional Pest Control and Consumer Goods markets
After the last ordering window closes and all the orders (in-person and online) are totaled, a detailed report will be emailed to the primary registrant. This report will include item-level details by BWI account and any incentives paid out for you as part of our Bonus Buck Program. You will receive a final report and incentive email in early November, once all orders have been proofed and reconciled.
Login Information
Shortly after registration, the primary registrant will receive an email with your online dashboard login details. Online booth access begins June 1, 2025.
Your online dashboard is where you will go to:

- • Upload online booth materials
- • Check sales totals
- • Download sales reports

Buylines is our 27-year-old publication mailed to over 4,600 BWI customers. The fall issue, released in September each year, is our EXPO issue focusing on the vendors and products featured at our EXPO.
